We are looking for a Buyer Administrative Assistant to join our Home and Gift team on a 12 month fixed term contract.

As a Buyers Administrative Assistant overseeing Kitchen, Dining and Bedroom Accessories, you will play an integral role in the product development process by providing administrative support for products from conception through to product launch.

You will have overall responsibility for managing the department samples and range guides along with general administrative tasks to support the department.

Our Support Office is based in Tolworth, near Chessington, only a 30-minute journey from London Waterloo. We offer hybrid working with a split of 3 days in the office and 2 days home working per week, and are open to having conversations about working flexibly.

An OB Buyers Administrative Assistant will:

  • Be responsible for all general admin tasks involving filing, photocopying, emailing and co-ordinating courier deliveries
  • Monitor critical path daily, in connection with the shipping and escalate any problems and notify the buyers of any issues
  • Maintain samples libraries, ensuring all samples arrive within required deadlines for sign off meetings, press shows and photoshoots
  • Manage historic samples and take them to QC for sample sale at appropriate times
  • Maintain department logs relevant for the range plan and update spreadsheet and systems daily
  • Liaise with suppliers and freight forwarders to ensure all documentation is accounted for
  • Raise and track orders, ensuring correct samples and information have been received from suppliers Log relevant information in the range plan and product pack
  • Maintain a comprehensive and accurate supplier database, ensuring all details are always up to date
  • Manage all incoming and outgoing post for the team, ensuring parcels are removed from the warehouse area in a timely manner
  • Ensure all product is delivered with correct labelling and packaging and to company standards, feeding back to suppliers when necessary
  • Manage potential supplier emails through potential supplier inbox
  • Work with the shipping team to ensure all product is approved to ship on time and feed any issues back to the Assistant Buer and/or Buyer
  • Keep buying team updated on all admin activities
  • Liaise with BAAs in other departments to ensure the sharing of best practice
  • Attend and contribute to jewellery buying meetings
  • Work closely with the Merchandising, Design, Product Technology and Ethical Trade teams on product development
  • Share samples and information with the PR and Marketing, Web and Ecommerce teams

What we look for:

  • Experience within the retail and/or buying industry would be an advantage
  • Proficient in various computer applications, with advanced capabilities in system useage, coupled with intermediate proficiency in Excel, Outlook, Word, and PowerPoint
  • Work with care and attention to detail
  • Speak clearly to individuals and small group groups you do not know
  • Listen to others and record important information
  • Set goals, ordering and prioritising tasks to achieve them
  • Keep trying and stay calm when something goes wrong
  • Explore problems by creating different solutions
