We are looking for a Finance Assistant to join Team OB in our Support Office.

As a Finance Assistant at OB you will work with the Finance team and other departments to ensure we deliver a first-class service.

You will work closely with the purchasing sides of the department, providing an efficient administrative support. Working to deadlines, you will process purchase invoices effectively matching them to purchase orders and entering them on the internal system for approval.

Our Support Office is based in Tolworth, near Chessington, only a 30-minute journey from London Waterloo. We offer hybrid working with a split of 3 days in the office and 2 days home working per week, and are open to having conversations about working flexibly.

An OB Finance Assistant will:

  • Process purchase and stock invoices and match to purchase orders and completing the 3 way match. Aiming for a 1day turnaround from receiving invoice to entering on system and sending for approval
  • Obtain approval from departments for purchase invoices received, chasing slow responding approvers
  • Ensure all invoices and related paperwork is filed appropriately and paper copies are securely destroyed when required
  • Managing the OB suppliers Inbox.
  • Processing daily sales through to Finance system. Liaising with stores to resolve issues where necessary
  • Reconciling cash
  • Checking the accounts in box and responding to store queries.
  • Checking till differences and requesting offline trading receipts where necessary
  • Assist with store expenses. Checking receipts and raising any unallowable expenses with Area Manager
  • Checking credit card expenses. Raising any unusual transactions or activity with your line manager.
  • Assist Accounts Payable Manager with ad hoc tasks as required to ensure efficient running of the purchase ledger
  • Collect post, scan and distribute where needed.
  • Perform ad hoc duties when needed
  • Support the Operations and Warehouse teams during company stock-takes as required
  • Contribute to finance meetings and provide support to other members of the team where appropriate
  • Assist in covering other tasks while team members are on holiday or sick
  • Write up core processes as a standard operating procedure and keep updated with changes to processes

What we look for:

  • Previous accounts payable experience required and desire to work in accounting and finance is a must
  • Experience of working in a retail environment preferred but not essential
  • Competent user of Microsoft Office (especially Excel)
  • Excellent analytical and numerical skills
  • Strong written and verbal communication skills
  • Organised and have the ability to multi-task
  • Highly motivated and able to work well to tight deadlines
