We have an amazing opportunity for an Operations Co-ordinator to join Team OB in our Support Office on a 9 month fixed term maternity cover contract.

As an Operations Co-ordinator at OB you will manage and develop the Operations Administrator to ensure the smooth running of the department.

Working closely and collaborating with multiple teams and departments across the business to deliver a variety of projects and initiatives, you will play a key role in supporting their research, development and implementation.

Reporting to the Operations Manager, your work will support the overall Business Strategy through strong collaboration and the ability to juggle multiple tasks and projects simultaneously.

Our Support Office is based in Tolworth, near Chessington, only a 30-minute journey from London Waterloo. We are working a 50/50 split of office and home working.

An OB Operations Co-ordinator will:

  • Proactively look for ways we can improve current processes in line with the current Retail Industry
  • Support the overview of the Operations inbox, responding to queries from Stores and SO – delegating, investigating and resolving as efficiently as possible.
  • Develop guides and repeatable processes in line with company SOP’s for teams to follow, in line with our brand tone of voice
  • Ensure the update of existing documents in the Operations Manual when required
  • Control project schedules, costs and changes effectively by promptly troubleshooting any issues that arise
  • Ensure the escalation of identified issues and risks in good time
  • Support the Operations Team with the execution of annual stocktakes
  • Oversee the Operations Administrators workload, delegating tasks where necessary
  • Complete one-to-ones, progress chats and appraisals with the Operations Administrator to ensure their ongoing development and progression
  • Support the delivery of new and existing initiatives within the Business Strategy
  • Provide structure to projects, establishing defined goals, objectives and budgets
  • Build and co-ordinate project plans to define tasks and manage timescales effectively
  • Work closely and collaborate with the Operations Manager and multiple teams across the business to achieve deadlines
  • Review project timeframes regularly to accommodate 3rd party involvement and help keep Projects on-track
  • Maintain regular communication forums with all relevant Operations Team members and each departmental Project Team to keep everyone updated
  • Troubleshoot issues while conducting trials and request feedback to ensure smooth project implementation
  • Ensure consistent, accurate and concise information is delivered from SO to Stores
  • Provide clarification on operational policies and procedures, highlighting areas that need updating and amending as a result of any internal changes

What we look for:

  • Experience of working in Retail is preferred
  • IT literate with advanced Microsoft skills – Word, Excel & PowerPoint
  • Excellent written and verbal communication skills
  • Strong analytical and numerical skills
